This guide walks through what goes on an invoice, how to handle currency and tax correctly, and how to send it so clients actually pay on time.

What every invoice must include

Whatever your country or currency, a complete invoice answers a few basic questions: who is billing, who is being billed, what was sold, how much is owed, and when. Make sure yours carries:

  • A clear label and unique invoice number. The word “Invoice” plus a sequential number (for example INV-2026-0042) so both sides can reference it.
  • Your business details. Name, address, contact, and your tax registration number if you are registered.
  • The client’s details. Their legal name and address, and their tax number if they need it for input-tax claims.
  • Invoice date and due date. State a specific due date, not just “net 30,” so there is no ambiguity.
  • Line items. Each product or service on its own row with quantity, unit price, and line total.
  • Subtotal, tax, and grand total. Show tax as a separate line so the breakdown is transparent.
  • Payment details. Bank account, card link, or wallet, plus accepted methods.

  4. Add tax correctly. Apply your local rate to the post-discount net amount, not the gross. More on this below.

Getting currency right

If you sell across borders, always state the currency explicitly. “1,500” is meaningless on its own; “OMR 1,500,” “AED 1,500,” “SAR 1,500,” “USD 1,500” and “EUR 1,500” are five very different amounts. Pick the currency your client expects to pay in, show the ISO code or symbol next to every figure, and if you convert from another currency, note the rate and date you used. Handling VAT and other taxes

  • Show your tax registration number if you are registered, since business clients need it to reclaim input tax.
