The Migration Process

What transfers and what stays behind

Moving from an established accounting system requires planning. You can export your customer lists, supplier details, and inventory items from Sage and import them into Paper & Pen. However, historical transactions and past invoices do not transfer automatically. You must bring over your open invoices and enter your trial balance as opening balances. The most sensible time to switch is at your financial year end or the start of a new tax quarter. This provides a clean cutover point and avoids running two parallel systems for long periods.

Who should not move to Paper & Pen

Sage offers a wide product family with specific industry solutions. If you rely on a specialised Sage industry product, moving to a general cloud ERP might disrupt your operations. Businesses heavily integrated into Sage payroll services also face high switching costs. Furthermore, Paper & Pen does not offer automatic bank feeds or third-party app marketplaces. Can I import my historical data from Sage?
You can easily import your master data, such as customer contacts, supplier details, and inventory item lists. However, historical transactions, past invoices, and old journal entries do not import directly. You will need to enter your opening balances and any unpaid open invoices manually. We recommend keeping a read-only backup of your old system for historical reference.
When is the best time to switch accounting software?
The most practical time to migrate is at the end of your financial year. This allows you to close your books in Sage and start fresh with opening balances in Paper & Pen. If you cannot wait for the year end, the start of a new tax quarter is the next best option. A clean cutover reduces the need to duplicate data entry.
Is Paper & Pen really free for invoicing?
