The migration process
Switching accounting systems requires planning. You cannot simply press a button and move everything. You can export your customer lists, vendor details, and inventory items from your current system and import them into Paper & Pen. However, historical transactions and closed invoices do not transfer automatically. The most practical approach is to pick a clean cutover date, usually the start of a new financial year or quarter. You will need to export your trial balance from your old system on the final day, then enter those closing balances as opening balances in Paper & Pen.

Who should stay
We want you to use the right tool for your business. Xero is established accounting software with a paid subscription, and it excels in specific areas. If your external accountant works exclusively in Xero and refuses to use other systems, you should weigh that heavily before moving. Furthermore, Xero is strong on automatic bank feeds and bank reconciliation. Paper & Pen does not offer automatic bank imports. If daily automated bank reconciliation is critical to your operations, you are better off staying where you are. Please check their official website for their current plans and pricing.
